Who this notice covers
This notice covers visitors to the iCHEX website and people who contact us about our services. It does not replace the privacy information supplied to candidates as part of a screening process.

Requesting a demo by email
The demo link opens your email application with a suggested subject and message. Clicking it does not submit an enquiry through this website. You can edit the message and decide whether to send it. If you send it, we receive your email address, the information you include and any signature or attachments.
Please include only information relevant to your business enquiry. Do not include candidate screening records, identity documents or other sensitive personal information.
Why we use enquiry information
We use your contact details and message to respond to your enquiry, discuss your requirements, arrange a demonstration and send relevant marketing about iCHEX services.
Our lawful basis is legitimate interests: responding to business enquiries, developing business relationships and promoting relevant services. We consider your interests and rights when using your information. Where consent is required by electronic marketing rules, we will obtain it before sending that marketing.
Providing your details is voluntary and is not a statutory or contractual requirement. If you do not provide a way to contact you, we cannot respond to your enquiry.
Your right to stop marketing
You can object to direct marketing at any time. Use the unsubscribe option in a marketing email, reply asking us to stop, or email [email protected]. We will stop using your information for direct marketing when you object.
Who may receive the information
We handle enquiries through email and record them in our customer relationship management (CRM) system. Your information is available to the teams handling enquiries, demonstrations and relevant marketing, and to our email and CRM service providers supporting those activities.
How long information is kept
We retain unsuccessful enquiries, including the associated email and CRM records, for 12 months after the enquiry closes without becoming a customer.
If you become a customer, information needed to manage that relationship is handled under the privacy information applicable to our customer services. If you opt out of marketing, we may retain a minimal record of your objection for as long as needed to avoid contacting you again.
Website hosting and international processing
The website does not collect enquiry details through an online form. The demo link opens your email application, and we receive your information only if you send the email. We do not use visitor analytics or tracking, and our website hosting does not retain visitor IP-address or access logs.
Personal information covered by this notice is not stored or accessed outside the United Kingdom, including through our email and CRM providers or overseas teams.
Your rights
You can request access to your personal information, correction of inaccurate information, erasure or restriction of its use, subject to the conditions and exceptions that apply under data protection law.
